36 an hour 1 day ago 1 day ago 1 day ago OCCUPATIONAL SUMMARY Responsible for all administrative duties at an Industrial Sand plant.
Provide comprehensive administrative supports to plant operations, production personnel, and other departments through efficient documentation, process management, and communication.
JOB DUTIES Utilize plant-specific software applications for data entry, reporting, and recordkeeping.
Maintain accurate and up-to-date plant records, including production logs, inventory control, and equipment maintenance schedules.
Collects production reports from each production department.
Inputs data into excel Production Inventory template to create a daily Production and Inventory Report for each day.
Enters information in NetSuite and sends daily Bag Inventory Reports.
Prepare and process plant-related paperwork, such as purchase orders, invoices, and expense reports.
Coordinate logistics for deliveries, shipments, and vendor relations.
Maintain a clean, organized, and professional office environment.
Serves as office receptionist.
Answers all calls, greets all visitors and administers to their needs.
Manage plant communications, including answering phones, directing calls and processing e-mails.
Manage plant visitor access and ensure adherence to safety protocols.
Provides site specific safety training and gives out safety items if no one else is available.
Performs various administrative duties for Plant Management including but not limited to, creating reports, researching issues, making copies, stocking supplies, etc.
Prepare and present regular reports on plant performance, including production statistics, budget adherence, and efficiency improvements.
Schedule meetings, appointments, and travel arrangements for plant personnel.
Assist with plant safety initiatives and maintain awareness of safety regulations.
Manage contracts and relationships with vendors, suppliers, and service providers to ensure the plant has the necessary resources.
Keeps track of all supplies and orders as needed.
When needed completes the process, waits for Plant Manager's approval, and creates a PO to send to vendor as requested.
Purchases supplies or service needs indicated by Plant Managers/Supervisors.
Inputs all purchasing data into NetSuite.
If necessary, contacts vendor to get pricing, creates a PO and sends to vendor upon request.
Ensures vendor is set up in the system.
If vendor is not in the system, begin credit approval process and negotiates terms with vendor.
Follow procedures to send necessary paperwork, including W9 to Accounts Payable.
Compares prices to select primary vendor for janitorial and office supplies.
Collects packing slips for every supply or service received and enters data into NetSuite.
Oversees the monthly holding file for all orders.
Reviews purchase orders with Plant Manager and ensures a timely review of purchase orders at the end of each month or start of the following month, verifying the receipt of products.
Accounts Payable department to confirm that all invoices corresponding to received products are processed.
Addresses discrepancies with vendors to secure missing invoices.
Reconciles all credit card charges of Plant Manager to ensure accurate documentation and timely submission of receipts to the Accounts Payable department for processing.
Creates slips for boots and safety glasses, has them signed by Management and tracks on a spread sheet to ensure one pair of boots a year and one pair of glasses every two years for each employee.
Liaison between human resources and plant staff.
Organize plant events and activities aimed at boosting employee morale and promoting a positive company culture.
Perform other duties as assigned.
QUALIFICATIONS High school diploma preferred, with some college coursework considered a plus, or equivalent work experience in a similar administrative role.
Minimum two year of administrative experience, preferably in an industrial setting.
Accounts payable, purchasing support and/or other relevant data input experience.
Strong Organizational Skills with the ability to prioritize and manage multiple tasks simultaneously.
Experience in accurate and efficient data input to business computer systems.
Excellent communication and interpersonal skills both written and verbal to effectively interact with all levels of the organizational staff, vendors, and customers.
Bilingual proficiency in both English and Spanish is preferred.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Good mathematical skills Ability to learn and adapt to new plant-specific software programs.
Strong attention to detail and accuracy.
Ability to work independently and as part of a group.
A valid Class C driver's license.
WORK DEMANDS AND ENVIRONMENT This position will be located on a mining plant which may require personal protective equipment (PPE), as needed, including hard hat, hearing protection, eye protection, hard-toed safety shoes or boots, dust mask respirator, protective clothing, gloves, and other PPE.
While performing the duties of this job, the employee is required to sit for long periods of time.
This position requires the ability to occasionally lift office products and supplies of up to 20 pounds.
